BallsInAir — Teaching Pro Guide
Welcome. This guide covers everything a teaching pro account does in BIA — publishing lesson availability, confirming bookings, and managing your day on the calendar. It's intentionally separate from the member guide; the member-facing features (Looking feed, posting peer-play games, joining other people's games) don't apply to your account and aren't covered here.

What BIA does for you
You publish a slot — say Monday 9 AM at your club — and any member at that club can request the slot from their phone. You tap Confirm, the time lands on both calendars, a reminder fires 24 hours before, and the lesson happens. No phone tag with the pro shop, no missed voicemails, no double-bookings.
BIA handles the scheduling. It doesn't touch payment. Members pay you the same way they pay today — club charge, cash, Venmo, Zelle, whatever your club uses. Nothing changes there.
Getting your account set up
Sign up
- Open play.ballsinair.com on your phone or laptop.
- The first screen asks "Which one are you?" — pick "I'm a teaching pro at my club." This choice is permanent for the life of the account.
- Fill in your name, email, password.
- Under Sports I teach, check Golf, Tennis, Pickleball — whichever sports you actually teach. You can add or remove sports later from your profile.
- Search for your club and pick it from the dropdown. If your club isn't listed, email support — admin will add it (usually same day).
- Verify your email via the confirmation link.
Already provisioned as staff?
If your club admin set you up as a dashboard user first (for operations visibility, not teaching), you can still register here as a teaching pro using the same email address. Once you've registered, ask your club admin to re-attach the staff role from their admin portal — and you'll have both surfaces: the Teaching Pro shell on play.ballsinair.com, and the dashboard on admin.ballsinair.com, with one login.
The Teaching Pro shell
When you log in, your navigation has four sections:
- My Lessons — your published slots, with Today / Month views
- Post Available Lesson — publish a new slot or recurring series
- Inbox — incoming lesson requests + booking confirmations
- Profile — sports you teach, notification preferences, account
You don't have a Looking feed, a Members directory, Groups, or the Lessons-browse tab — those are member-facing surfaces. Your view is purpose-built for managing lesson availability.
Publishing a lesson slot
From + Post Available Lesson, fill in:
- Date — the lesson date.
- Destination — Golf, Tennis, Pickleball, or Paddleball. Only the sports you've enabled in your profile show up here.
- Time — when the lesson starts (we always treat the time as "BIA: Yes" for lessons — students arrive earlier to be ready).
- Total spots —
1for a 1-on-1 lesson,2for a pair, up to4for a small clinic. - Recurring lesson (optional) — flip this on to publish the whole series at once (e.g. every Saturday morning for the rest of the season). Each instance is independent: members confirm per-lesson and you can cancel or edit a single date without affecting the others.
- Direct Invitations (optional) — invite a specific member by name. They get a notification pinging them directly, and the slot still shows up for others to request unless you fill all the seats.
- Invite Guests not on BIA App. (optional) — for students who aren't BIA members yet. Add their name and email; they hold a seat without needing an account.
- Notes (optional) — anything else you want to surface: "Bring your own clubs," "Range balls included," etc.
Tap Post available lesson to publish.
What members see when you post: members at your club see the slot in their Lessons tab the moment they open it. BIA deliberately does not push a notification when you publish — that would get noisy. Discovery is passive.
My Lessons — managing your day
The My Lessons page has two views:
Today view
A simple list of every lesson you have on the books today, in clock order. The view's button shows a live count (e.g. "Today (3)") so you can see at a glance whether you have anything on the schedule.
Month view
A calendar grid with prev / next month navigation. Each date is color-coded by booking state:

Tap a date on the calendar to filter the list below to just that day's lessons. Tap the same date again to clear and see the whole month's lessons.
This is how you find a clear day to plan a long recurring series, or how you spot which posted slots haven't gotten any traction yet ("everything from June 18 onward is amber — let me text my regulars").
Confirming a booking
When a member taps Request on one of your slots, you get a notification in your Inbox — both in-app and via push (if you've allowed notifications).
Open the Inbox entry, tap through to the game detail, and tap Confirm (or Decline if you can't make it). Once you confirm:
- The slot moves from "Open" to "Confirmed."
- The member is added to the roster.
- A calendar invite fires to both your inbox and the member's — Apple Calendar, Google Calendar, and Outlook all handle the
.icsattachment, so the time lands wherever your calendar lives. - A 24-hour reminder is scheduled to ping both sides the day before.
If the slot has multiple seats (a clinic), other members can still request the remaining seats until you fill them or the lesson date passes.
Changing or cancelling a lesson
From the game detail page on a confirmed lesson:
- Edit time — moves the lesson to a new time. Confirmed students get notified and a fresh calendar invite drops so their calendar updates in place. Guest invites you added by email get a "time changed" email with the new invite.
- Cancel — drops the slot. Confirmed members are notified. For a recurring series, you can cancel a single date without affecting the rest of the series, or cancel all future instances at once.
The 24-hour reminder respects edits — if you moved a Tuesday 10 AM to Wednesday 2 PM, the reminder fires 24 hours before the new time, not the original.
Profile
Your profile has the cards relevant to a teaching pro:
- Subscription — your account status. BIA is free during beta, so this just confirms your account is in good standing.
- Notifications — push delivery preferences, quiet hours, digest vs real-time. Set quiet hours so a late-night booking request doesn't wake you up.
- Your club — your club affiliation (read-only — set at register or by the admin attaching you as staff). The sports toggles let you add or remove which lesson sports you teach at this club at any time. Started as Golf only and now adding Tennis? Just tick the box.
- Refer a friend — your referral link to bring other pros / members onto BIA.
- Send feedback — direct line to support.
- Privacy / Terms / Sign out / Delete account — the usual.
There's no toggle to switch your account from teaching pro to member, by design. The role is chosen at signup and stays put. If you change your mind (decide to add a player account), email support — the path is delete-and-re-register, not a flip.
How members find your lessons
Members at your club see every open lesson slot in their Lessons tab. They can browse:
- All view — a chronological list of every open slot
- Month view — a calendar heat-mapped by how many slots are open per day (white = none, light green = a few, dark green = many)
Each lesson card shows your name, the date and time, the sport, and a Request button. The member taps Request, you get the inbox ping, you confirm.
Members at OTHER clubs you're not affiliated with don't see your slots. Lessons are walled off per club — same as everything else in BIA.
Payment — what BIA does and doesn't do
BIA handles the scheduling. It does not handle payment. Members pay you the same way they do today (club charge, cash, Venmo, Zelle, whatever you and the member work out). No fees come out of your lesson revenue. No payment plumbing for you to learn.
If billing for BIA itself ever comes back during or after beta, you'll see your subscription state in the Subscription card on your profile. For now, the entire app is free.
